Recruiting Guidelines

These guidelines need to be adhered to by all chapters and members of Region 7 in order to ensure that all will benefit from any recruiting endeavor.

Recruiting Table Protocol:

  1. Contact Region 7 Recruiting regarding a possible recruiting oportunity (convention or other event). Please provide at least 60 days advanced notice.
  2. Region 7 Recruiting will acknowledge receipt of the inquiry and accept/decline to pursue the oportunity.
  3. If the chapter desires to, it can offer to take point on the operation.
  4. If either a chapter(s) or Region 7 Recruiting elects to pursue the oportunity, an announcement is made to the Region as a whole about the operation to prevent duplication. An event leader will be chosen at this time to coordinate the operation.
  5. Formal contact is made with the convention promoter requesting a table and/or other needs. Ideally this request should be submitted at least 3 months prior to the event.
  6. If a chapter or chapters are taking point, they provide the convention promoter with a letter confirming that they are the designated representatives of STARFLEET Region 7.
  7. If a monetary fee is required to secure the table/area, solicit donations from the chapters in the Region and make the necesary payment arrangements with the promoter.
  8. Once a table/room etc is secured, a follow up announcement is made to the Region. Volunteers are then sought.
  9. Volunteers contact the designated event leader, who then coordinates personnel.
  10. The event leader takes responsibility for providing necessary document and supplies.
  11. Region 7 Recruiting can be called upon to provide templates for flyers/bulletins/brochures, as needed by the event leader.
  12. Chapters are responsible for getting their flyers to the event leader prior to the event date unless they plan on being present at the event.
